Before You Begin:
- No setup is required. Session reminders are sent automatically for all scheduled sessions.
- The logo, footer links, and site nickname in the reminder email come from your Email Brand Settings, which a Site Admin configures once for all campaigns.
- Reminders go only to people listed as Attendees on a session, so members must sign up or be added before they will receive one.

Session Reminder Email Notifications provide community members with an email notification in advance of each session they have signed up for. Two reminders are sent per session: one three days before it starts and one 15 minutes before it starts. These reminders help reduce no-shows, improve engagement, and ensure everyone has the information they need when they need it.
Who will receive Session Reminder Emails?
Individuals will receive email reminders for any session in which they are listed as Attendees. This includes sessions at the global level or within their own groups. This can occur in two ways:
- Individuals have signed up for themselves by clicking the "Attend Session" one-click sign-up button.

Individuals have been added as attendees by either a site admin or a group admin.

Layout and Contents of the Session Reminder Emails
Below is an outline of the email contents. The sample email image is numbered to correlate.
- Logo: The logo displayed here is the one set under Email Brand Settings.
- Welcome Message: The message is personalized with the user's name and your Site Nickname from the Email Brand Settings: "You just received an event reminder from…"

Session/Event Details:
- Session title
- Relative date/time information displays in the time zone specific to each individual.
- Session banner image
- Call to action, either "view event" or "join event."

Footer: This will contain up to 3 links.
- Contact Page: optional. This can be an internal page on Community or an external link, and it must be set in Email Brand Settings.
- Privacy Policy Page: optional. This can be an internal page on Community or an external link, and it must be set in Email Brand Settings.
- Manage Preferences: Members can opt out of this specific Session Reminder email template/campaign within their notification preferences.

Notification Preferences
No setup is required. These reminders will automatically be sent for all scheduled sessions. To opt in or out:

Click on your avatar in the upper right corner and go to Settings. Members can also be linked here when clicking Manage Preferences from the Session Reminder email footer.

Scroll to the Notification Preferences card and select the Email tab. Session reminders sit here alongside the daily digest and missed message follow-ups.

- The session reminder preference is on by default for all members; however, they can toggle it off and on as desired. The setting description states plainly that two reminders are sent per session, three days before and 15 minutes before it starts.

Members' time zones are set on the Settings card at the top of the same page. Time zones are set automatically upon first login; however, members can update this as needed. This sets the time zone display within the email for sessions and meetings, rather than defaulting to a time zone such as UTC.
Common Pitfalls
- Looking for session reminders on the main Settings card: The setting moved to the Email tab of the Notification Preferences card. Your existing selection came with it, so there is nothing to turn back on.
- Expecting a reminder without signing up: Reminders only go to people listed as Attendees. Browsing or following a session is not the same as attending it.
- Reminder times looking wrong: Reminder emails display in each member's own time zone. If the times look off, check the time zone on the Settings card rather than the session itself.
